The Wakilni Workflow

1. Connecting Your Account

To start syncing orders, you must link your Wakilni credentials to your Mashroo3 workspace.

  1. Get Your Tokens: Log in to your Wakilni Portal, go to Settings > API Tokens, and create a new key/secret pair labeled "Mashroo3".

  2. Dashboard Setup: In Mashroo3, navigate to Settings > App Store > Deliveries and click Configure Wakilni.

  3. Authentication: Enter your API Key and Secret. Once verified, your Mashroo3 dashboard will be able to "talk" to Wakilni’s servers in real-time.

2. The Delivery Workflow (Kanban)

Once an order is created in the Sales module, it appears in your Deliveries workspace.

  • Requesting Pickup: Select one or multiple orders and click "Send to Wakilni." This automatically creates a pickup request.

  • Live Tracking: As the Wakilni driver updates the status (e.g., Picked Up, Processing, Out for Delivery), the card in your Mashroo3 Kanban board will move automatically across the columns.

  • SMS Notifications: Your customers will receive the standard Wakilni tracking link via SMS the moment the package is scanned into their warehouse.

3. Cash on Delivery (COD) & Settlements

Handling cash in Lebanon requires strict reconciliation. Mashroo3 simplifies this by tying Wakilni’s "Cashbox" to your CRM.

  • COD Collection: Specify the collection amount in your order. Ensure this includes both your product price and the delivery fee if you are charging the client for shipping.

  • The "Yellow" Settlement: When Wakilni delivers the item and collects the cash, the order status in Mashroo3 moves to Delivered.

  • Reconciling the Cashbox: Use the Finance module to match Wakilni’s bi-monthly or monthly cashbox payouts with your "Owed" balances in the CRM. This ensures your "Single Source of Truth" includes the cash currently held by your logistics partner.

4. Troubleshooting & Specifics

  • Currency Handling: You can set orders to be collected in USD or LBP. Ensure your customer is informed, as drivers may refuse delivery if the payment currency doesn't match the order instructions.

  • Returns (Refused Delivery): If a customer rejects an order, Wakilni flags it as "Rejected." Mashroo3 will automatically prompt you to move those items back into Inventory and adjust the customer's order history.

  • Bulk Actions: For high-volume days, use the Bulk Delivery flow to generate waybills for dozens of orders at once.
